You do not need a scanner. A phone photo of your signature works for any exam form, as long as the paper looks white, the ink looks dark and the signature fills the image. Most signature rejections are about a grey, shadowed, tilted photo, not the KB. Here is how to get a clean one in two minutes.
Paper and pen
- Plain white paper without lines. NBEMS says only signatures on a blank white page without lines are accepted. Ruled notebook paper leaves blue lines that the portal and the examiner can see.
- Black or dark blue ballpoint or gel pen. Pencil and light blue ink fade after compression. A felt-tip that bleeds makes the strokes fuzzy.
- Sign the way you will sign at the exam. Your signature on the attendance sheet is compared with this one. NBEMS warns that a mismatch can lead to disqualification. Use your full signature, not initials.
- No capital letters for banks. Forms that follow the IBPS format (IBPS, SBI, RBI, LIC) reject signatures written in capitals.
Draw the box first
Several notices describe the signature as a box size. Drawing a light pencil box of that size on the paper keeps your signature in proportion, so it fills the image instead of floating in white space:

Sign a little larger than you normally would inside the box. A signature that fills 70–80% of the frame (GATE's own guideline) stays readable when it is shrunk to a few hundred pixels.
Taking the photo
- Daylight, no flash. Put the paper near a window. Flash makes a bright spot and a dark edge.
- Hold the phone parallel to the paper. Looking at it from an angle turns the box into a trapezium. Rest your elbows on the table and hold the phone directly above.
- Watch your shadow. Your hand and phone throw a shadow if the light is behind you. Turn so the light comes from the side.
- Fill the screen with the box, then tap to focus on the ink.
- Or use a document scanner. Google Drive's scan option on Android and the "Scan Documents" option in Apple's Notes app straighten the page and whiten it automatically.
Cleaning it up
Open the photo in the signature resizer. It trims the white space around the signature, whitens grey paper, darkens the ink and resizes it to your exam's preset, all in the browser without uploading the file. Check that the result looks like dark ink on clean white, with no box lines left at the edge.
Why small signatures fail a minimum KB
A clean signature is mostly white, and white compresses to almost nothing. In our measurements, a cleaned signature at 140 × 60 px reached only 5.6 KB even at maximum JPEG quality, while IBPS-format forms ask for 10–20 KB. The pixel size there is "preferred" and the KB range is the hard rule, so the editor meets the minimum by adding harmless padding bytes to the file. The minimum-KB guide explains this.
